Advisors

Every student organization must have an Edgewood faculty or staff advisor.  Advisor responsibilities include: providing continuity, program consultation, interpretation of College policy, financial supervision, coaching of club officers, attendance at meetings and attendance at activities.  Each organization selects an advisor who is then approved by the Student Government Association and the Student Affairs Committee.

New Clubs and Organizations

Students who want to forma new club or campus organization can get permission from the Director of Student Activities to hold preliminary meetings.  They must agree to conduct their activities according to the regulations in the Student Handbook.  The Director of Student Activities is available to help and advise students who want to form a new campus group.  If the preliminary meetings are successful, the group can become an officially recognized campus organization by submitting a request for official recognition to the Student Government Association.  A request for recognition must include the following:

  • Name of organization
  • Purpose and goals of organization
  • Names of active members
  • List of officers and chairpersons
  • Member eligibility (Organizations can not discriminate on the basis of race, sex, sexual orientation, religion or disability)
  • Process for selection of officers
  • Meeting frequency
  • Name of faculty or staff advisor
  • Means of funding

This information can then be included in a formal constitution and by-laws if appropriate.

After approval by Student Government Association, the new organization is recommended to the Student Affairs Committee for official recognition.  All organizations are required to submit yearly forms regarding status of the organization.

Guidelines for Campus Organizations

Sponsoring Special Events
All campus organizations which have been officially recognized by the Student Affairs Committee are eligible to hold functions and meetings in campus facilities. Representatives from the sponsoring organization should contact the Director of Student Activities at least two weeks before the event if they need assistance or if the event is open to students beyond the group's members.

To reserve a room, a Facilities Reservation Form must be submitted to the Reservation Manager at the Campus Assistance Center at least two weeks before the event. Requests for AV equipment, food service, and room set-up are included on this form. The Food Service Director will be happy to suggest menus and provide other catering information.

If alcohol is to be served at an event, approval must be obtained from the Director of Student Activities or the Campus Programs Coordinator one week in advance, and all guidelines and regulations contained in the College Policy on Alcohol and Drugs, from the Student Handbook, must be strictly observed.

The sponsoring organization is responsible for clean-up immediately following the event.
