Campus Assistance Center Specialist


The CAC Specialist position is the first point of contact for individuals entering the Deming Way Campus facility. As this is a satellite campus facility, this position encompasses multiple services that are vital for student and faculty success; working with offices such as Parking, Security, Environmental Health and Safety, Library, Bookstore, and Edgewood Central. This position requires the ability to quickly adapt to changing needs and an eagerness to assist guests, faculty/staff, and students. The person in this position must be dependable and responsive, attentive to detail, personable and approachable, with exemplary communication and interpersonal skills. Confidentiality is an important aspect of this role. This position reports into the Campus Assistance Center on the Monroe Street Campus.

Work Hours:
Monday – Thursday,  11:00 a.m.-7:30 p.m. Friday 11:00 a.m.-5:00 p.m.


Front Desk/Reception

  • Distribute mail from the shuttle run and also from the US Mail delivery daily
  • Set up Deming mailboxes for instructors each term/semester, new Deming inhabitants and create email distribution lists
  • Update name plates outside of doors for new employees
  • Supervise day and night front desk staff
  • Reception: greets walk-ins; handle phone and e-mail inquiries; direct campus visitors.
  • Coordinate shuttle (books from bookstore, student materials to/from library), student book pick-up, mail delivery
  • Beverage setup and making coffee (shared responsibility w/ Deming Way Facilities)
  • Contact vending machine companies with problems
  • Create each term/semesters classroom detail to have at the front desk for reference (dates, times, course numbers, course names, enrollments, instructors, room assignments)
  • Update and welcome new College Completion/Graduate/Professional Development faculty with Deming Way Campus procedures and campus overview documentation
  • Create distribution list of faculty each term
  • Create PowerPoint slide(s) on lobby and kitchen area monitors directing faculty, students and guests to assigned rooms
  • Coordinate back-up coverage when needed


  • Assist Registrar’s Office on the use of Deming Campus with efficient room schedule
  • Create each months Deming Way building hours and distribute to security, facilities, reservations, current term faculty and students, Deming inhabitants, TAC
  • Maintenance of room reservation/Deming Way Campus events monthly calendar, which is updated on daily basis (to keep track of which rooms are being used, for maintenance/room configuration purposes and front desk information)
  • Display American Flags at Half Staff notification when needed
  • Report any suspicious activity seen on security monitors to Security


  • IT troubleshooting - the position works as a liaison with the Information Technology Services Office in resolving technical issues at the Deming Way campus location.
  • Attend to copier/printer needs (replace toner, fill paper, clear paper jams, etc.)

Deming Liaison with Monroe St campus

  • Discuss needs with facilities assistant on a daily basis for building needs (room assignments and sets, etc.)
  • Set classrooms per faculty preference
  • Partner with Environmental Health and Safety MFD inspections, for fire and tornado drills plus coordinate monthly functional checks – fire extinguisher, exit lights, security lights, AED and first aid kit
  • Partner with Mailroom to sell postage stamps, order printer/copier paper as needed, etc.
  • Partner with Parking Office for Madison Metro Bus Ticket and Parking Permit distribution which includes entering all Deming information in the Edgewood College parking and vehicle management system in Express
  • Partner with Bookstore to sell insignia items from the Bookstore display case and scheduled Graduation Fairs
  • Implement emergency procedures and training for staff and partner with Environmental Health, Safety and Risk Management director
  • Partner with President’s Office to coordinate Meal with the President events each term and scheduled Board of Trustees meetings
  • Coordinate with dining services (Chartwells) for kitchen supplies needed at Deming

Faculty Services (Academic Affairs)

  • Proctor exams when needed
  • Help students and faculty with what is needed while attending class (Take ID pictures, specific room setups, etc)


Necessary Education or Work Experience:

  • Customer service training acquired through workshops or certification programs
  • Experience in customer service related field required with ability to interact with customers quickly, accurately, and congenially
  • Experience in an academic environment preferred

  • Exceptional customer service skills, maintaining friendliness and professionalism to advance the image of the College
  • Demonstrated ability to work effectively as a team member
  • Strong initiative and ability to work independently
  • Ability to problem solve and make independent decisions
  • Ability to plan procedures for campus emergencies and to think and act quickly in an emergency
  • Excellent oral and written communication skills
  • Must be able to multitask and work in fast paced environment

Required Technology Skills:

  • Overall Proficient skill-level in Microsoft Office, which includes: Word, Excel, Power Point, Outlook, and basic computer concepts
  • Comfortable using and answering basic questions related to common building technologies.  The position works as a liaison with the Information Technology Services Office in resolving technical issues at the Deming Way campus location.
  • Knowledge of WebEx Conference software
  • Willingness and ability to learn new software
