Senior Library Assistant- Technical Services
Description of Job
This is a twelve-month, full-time position. Order, receive and submit invoices for library materials. Manage the serials collection. Ensure accessibility to information about orders and serials for both staff and library users. Create and maintain the ILS fund accounting system. Oversee document delivery services and train graduate assistants. Catalog new library materials. Some weekend and/or evening work may be required.
- Verify new requests prior to ordering to eliminate duplication of titles.
- Order requested items from publisher or vendor.
- Create and maintain brief bibliographic and order record on ILS.
- Monitor orders through the receiving process and follow up as necessary.
- Maintain internal fund accounting records and produce reports as needed.
- Audit invoices and submit to Library Director for payment.
- Manage intake and processing of donated items.
- Check in periodical issues and distribute to shelves.
- Claim and/or replace missing or damaged issues.
- Create, maintain and update records on ILS.
- Store and maintain cancelled periodicals and microforms.
- Audit invoices and submit to administrative assistant for payment.
Document Delivery Services
- Oversees the effective management of all aspects of document delivery services, including setting policy, establishing goals, implementing procedures, and planning workflow and processes.
- Trains and supervises graduate assistants in performing interlibrary loan duties.
- Provides leadership in evaluating, recommending, and implementing new technologies and service models.
- Maintains and troubleshoots document delivery software and hardware.
- Ensures copyright compliance as related to document delivery.
- Prepares monthly and annual reports.
- Keeps current with emerging trends and technologies, evaluating developments, and recommending directions including the review of pay-per-view access, digital transmission, and related activities.
- Assists in the marketing of document delivery services to patrons.
Technical Services Support
- Catalogs and classifies new books and audiovisual items by identifying and editing matching bibliographic records.
- Modifies or creates appropriate Library of Congress classification and subject headings and assigns specialized call numbers for materials according to local library procedures.
- Performs catalog maintenance special projects as assigned.
Budget Management & Support
- Prepare, maintain, and verify all financial and statistical records using appropriate technology.
- Post, balance, monitor, and reconcile internal department/division monthly ledgers, budgets, and financial reporting system reports.
- Prepare monthly financial statements, reports, and fiscal year-end report. Submit to Library Director for review.
- Provide backup support for the Circulation Supervisor during daytime hours in their absence.
- Open library in Circulation Supervisor’s absence.
- Sort and distribute all Library mail and shipments daily.
- Maintain a comprehensive and up-to-date procedure manual.
- Participate in unit planning activities and special projects as required.
- Gathers statistics and prepares reports for large surveys (ACRL, etc.)
- Record, prepare and distribute staff meeting minutes.
- Other duties as requested or assigned.
Necessary Education or Work Experience
- Minimum 2 years of relevant accounting or bookkeeping experience.
- Computer coursework and/or appropriate experience manipulating databases.
- Minimum of one-year previous library/office skills experience related to acquisitions, periodicals, or cataloging desirable.
- Demonstrated budgetary management and financial analysis skills and experience.
- Must be able to lift up to 40 pounds.
Required Knowledge and Skills
- Able to work independently and collaboratively in a team-based environment.
- Knowledge of general accounting principles
- Able to use discretion and make administrative judgments based on existing operating guidelines to resolve day to day operating issues.
- Excellent problem solving, multi-tasking, and organizational skills.
- Exhibit excellent communication skills, and a strong, proactive service orientation.
- Successful project management experience including a demonstrated ability to plan, and implement and assess projects.
- Ability to troubleshoot computers and/or software applications.
