Graduate Assistant – Event and Conference Services


The position of Graduate Assistant (GA) for Event and Conference Services is a one-year appointment which, is responsible for providing direct and indirect services in the department.  The GA will work under the supervision of the Event and Conference Services Manager and in collaboration with professional staff.  The research that will be completed along with this graduate assistantship will be in 2 major areas of project planning and implementation.  The GA will assist with research, planning and implementing updated marketing via: the site, print and digital brochures, and the Greater Madison Convention and Visitor Bureau.  The GA will be tasked with researching current marketing trends and new ways to deliver information regarding spaces and services available from the College.  They will also be responsible for developing a long term plan to ensure maintaining the developed processes.  The balance of the 20-hour work week will be scheduled during the day to meet the needs of the GA and Events and Conference Services staff.


Research and Create a Standard Proposal Plan:

  • Plan for increased rental revenue, both for the Academic school year and Summer season
  • Research possible groups that may want to use our campus, contacting these groups to gauge interest, creating formal proposals for groups who plan to use our campus
  • Research competitive pricing at other institutions and assist in the creation of a marketing and sales plan for the Event and Conference Services Office
  • Research Event and Conference Marketing trends
  • Propose improved Events and Conference website, including all marketing materials

Space Usage for Space Inventory and Events/Conferences:

  • Research space policies and procedures at other institutions in order to assist with determining appropriate standards for the College
  • Research resources needed for additional hospitality services for both the Academic school year and Summer season
  • General assistance with special event planning, scheduling, and management, including training student workers and general limited users with space program tools such as ASTRA and SysAid
  • Other Event and Conference Services duties as assigned


Necessary Education or Work Experience:

  • Must be enrolled in a graduate program of study at Edgewood College. Additional preferred qualifications include: Two-year Edgewood College graduate enrollment in the areas of business or organizational leadership. Marketing coursework and/or experience is valued and preferred.
  • Applicant must be experienced in training personnel in both office procedures and computer applications
  • Thorough knowledge of telephone etiquette and customer service protocol
  • Applicant must be proficient with computer software applications, particularly MS Office, Windows 10, and SharePoint Designer, Visio, Photoshop, SysAid, and ASTRA scheduling software
  • Strong organizational skills are required

Required Knowledge and Skills:

  • Knowledge of College policies, procedures and services and skill in written and oral communication.  Must be capable of accepting the College Mission Statement and working within its guidelines
  • Must also be able to work effectively with all departments and offices in the College and the general public
  • Ability to operate in an educational environment
  • Advanced analytical and critical thinking skills and the ability to gather, compile, analyze, summarize and effectively present data and prepare reports
  • Strong interpersonal skills and advanced verbal and written communication skills
  • Demonstrated leadership, organizational and management skills, and ability to maintain confidentiality
