Mail Center Lead Associate

DESCRIPTION OF JOB:

This position is responsible for coordinating the daily operations of the Mail Center.  The position will hire, train and supervisor student employees.  The Lead Associate coordinates daily operations of the Mail Center, sorting and distributing mail, metering outgoing department mail, providing mail and package services and mailbox service for Faculty, Staff, and Students.   The position provides a high level of customer service to customers both internal and external to Edgewood College.

Responsibilities:

Mail Center/Customer Service

  • Sort incoming mail and distribute mail to departmental mailboxes
  • Send notifications to faculty, staff, and students regarding delivered mail and packages
  • Prepare outgoing mail in compliance with USPS and common carrier mail requirements
  • Operate postage meter equipment, apply metered postage to outgoing mail and parcels
  • Assist faculty, staff and students with all postal mailing and shipping needs including United States Postal Services, United Parcel Service, and Federal Express.
  • Maintain Mail Center computer records and documents
  • Utilize Carrier shipping software to process parcels for shipment
  • Assist customers with folding machine and other Mail Center equipment
  • Utilize a cash register to conduct counter service for stamps sales and parcel shipments
  • Maintain a liaison with all associated mail service and support agency representatives that the Mail Center works with on a regular basis: USPS, FedEx, UPS, United Mailing Service, Hasler, and Pitney Bowes
  • Maintain and order Mail Center supplies, shipping, and support items from various vendor sources
  • Point of contact for faculty, staff, and students concerning mail center services
  • Willingness to research information to assist customers
  • Provide welcoming environment to faculty, staff students and external visitors

Accounting

  • Maintain postage accounts including Business Reply, Postage Due, and Bulk Mail
  • Accurately maintain month records and prepare reports to the Business Office for departmental postage charges, mailings, and parcel shipping costs 

Mail Center/Other Functions

  • Participate in process improvement initiatives
  • Perform other duties as requested, delegated or assigned
  • Collaborate with Bookstore personnel in conducting yearly inventory of mail center supplies

JOB QUALIFICATIONS

Necessary Education or Work Experience:

  • Prefer 2-3 Years work experience in a full service Mail Center, of which 1-2 years includes lead or supervisory duties
  • Experience with and working knowledge of U.S. Postal Service and common Carrier International and Domestic mailing and shipping regulations
  • Work experience with Mailing Equipment including postage meter machine
  • Knowledge of U.S. Postal Services addressing standards
  • Experience utilizing shipping software
  • Experience with organizing and maintaining a mail box system (manual and/or virtual)
  • Experience using a cash register
  • Experience using copy machines
  • High School Degree or equivalent

  • Strong knowledge of mailing and common carrier shipping regulations including USPS, UPS, and Federal Express
  • Previous work experience with USPS mailing requirements including:
    • Domestic and International mailing
    • Express Mail Service
    • Automation addressing and barcoding requirements
    • Business Reply Mail, Ancillary Services, and Postage Due
    • Address Management
    • Postal Permit Imprints
    • Standard (bulk) mailing requirements
    • Mail Redirect Procedures
  • Intermediate level experience with MS Office Excel and Word programs to include creating and maintaining large databases and creating reports
  • Experience working with a Mail Service such as United Mailing Service or Zip Sort
  • Proven ability to work effectively as a team member
  • Strong initiative
  • Ability to problem solve and make independent decisions
  • Excellent oral and written communication skills
  • Must be able to multitask and work in fast paced environment

Required Technology Skills:

  • Overall Proficient skill-level in Microsoft Office, which includes: Word, Excel, Power Point, Outlook, and basic computer concepts
  • Booklog experience a plus
  • Knowledge of SharePoint is a plus
  • Willingness and ability to learn new software
