Director of Facilities Operations
DESCRIPTION OF JOB:
This individual is responsible for management of Facilities Operations, which consists of full-time staff and student workers in the Custodial, Maintenance, Landscape & Grounds and Events and Conferences. Properties are located on Monroe Street (main campus), Excelsior Drive (Marriage and Family Therapy) and Valton (Painted Forest), Deming Way (Graduate Nursing Programs). This position oversees maintenance of the university’s grounds (approximately 55+ acres) and physical plant (approximately 700,000 square feet). The Director of Facilities Operations is responsible for oversight of all new construction and remodeling of the physical plant, care of buildings and grounds, developing and implementing university-wide space policies for approval by the President’s Cabinet and rental revenue initiatives through Events and Conferences.
Responsibilities:
Manage overall budget of 2.4 million dollars for Facilities Operations for Edgewood University including:
- Deferred maintenance planning
- Capital improvements
- Contingency budget proposals
- Operating budget
- Increased revenue through rental group space usage
Maintenance: Perform duties related to all long term and short-term projects on campus or other University owned or leased property.
- Supervise Assistant Director of Facilities Operations, Custodial Manager, Maintenance Manager and Landscape and Grounds Manager.
- Meet with departments and managers on campus to define depth and breadth of each project.
- Work with the Vice President of Administration to create realistic project budgets and proposals, and determine university-wide project priorities. Estimate costs of any proposed project for inclusion in the planning and budget process.
- Work with architects, planners and contractors in the design-bid-build process for campus remodeling projects. Hiring and management of contractors and/or vendors to complete work on schedule.
- Communication of all building and remodeling plans to the Edgewood community.
- Represent Edgewood University at neighborhood, community or government planning meetings if required.
- Partner with the Assistant Director of Security and Risk Management to ensure all OSHA, EPA and other guidelines are followed.
- Oversee on-site supervision and direction to contractors and/or vendors hired by the University to complete necessary repairs, renovations and/or building projects.
- Oversee the selection and implementation of software programs that are necessary for development of a long-term capital improvements plan, preventative maintenance of equipment and potential work order system.
Custodial: Oversee custodial operations of all campus locations that include campus buildings and residence halls.
- Oversee supervision of Custodial Manager and/or contracted labor.
- Assist Custodial Manager in establishing long- and short-range goals for staff.
- Maintain partnership between Residence Life, Security and Facilities Operations to ensure the best learning and living environments are provided.
- Oversee selection and ongoing contracts with outside vendors, as well as ongoing custodial projects.
- Manage replacement plan and purchasing of all campus furniture including residence halls, offices, classrooms, gathering areas, etc.
- Oversee and make recommendations for waste diversion from all campus facilities.
Landscaping & Grounds Operations: Oversee maintenance and care of landscape and grounds including the exterior of buildings, paved areas, parking lots and terraces throughout all seasons.
- Oversee planning and improvements in efficiency and effectiveness of landscaping & grounds.
- Oversee the design, plan and coordination of landscape and grounds improvements for the Monroe Street and Deming Way campuses.
- Initiate implementation of sustainability efforts and feasibility studies.
- Supervision of Landscape and Ground Manager.
Space Planning: Manage the short- and long-range planning and space needs, determining priorities for the best use of university space for offices, classrooms, meeting rooms, common areas, and storage space for both Monroe Street and Deming Way campuses. This includes long-term planning and lease maintenance for off-site campus locations.
- Assess campus space: Research space policies and procedures, analyze data, draft guidelines, and make recommendations to the President’s Cabinet or other responsible body for approval of appropriate standards for inclusion in the Guidelines for Space Planning
and Usage. - Oversee the maintenance of the University’s space inventory.
- Manage relationships with outside space planning consultants to develop long term plans for space and facilitate community input into space planning processes.
Reservation and Conference Services: Oversee management of all aspects of the reservation and conference process.
- Oversee arbitration between individuals and departments in regards to policy, while enforcing university space guidelines regarding best use of space.
- Assist the Events Manager to ensure that all events, meetings, and conferences fit the mission of the University and are appropriate for the Monroe Street and/or Deming Way campus.
- Oversee the management of research and analysis to determine the appropriate fee structure for rental of university rooms, audio-visual equipment, and custodial and technical fees.
- Oversee the management of increased revenue through summer resident groups and rental groups using space at Monroe Street and Deming Way campuses.
Dining Services: Oversee the relationship between Edgewood University Dining Service Liaison and the dining services provider.
- Oversee the preventative and routine maintenance of all dining services related equipment.
- Manage all construction projects and dining hall enhancements in existing and planned dining venues.
- Oversee and make recommendations for appropriate waste diversion from dining facilities.
- Oversee the in-house custodial care of all campus dining venues.
Neighborhood Liaison Lead: Serve as Neighborhood Liaison Lead between Edgewood University, Campus School and High School as well as Dudgeon-Monroe and Vilas Liaisons.
- Point of contact for all neighborhood concerns including facilities related issues as well as
student issues as it relates to the neighborhoods.
Serve as Facilities Operations liaison between the Campus School, High School, and University:
- Develop long term repair / improvement plan for shared buildings on campus and coordinate with the other schools.
- Represent Edgewood University during construction to roads adjacent to or affecting transportation to and from the University. Attend public input sessions, City meetings and collaborative meetings between Edgewood Campus School, High School and University.
- Collaborate with Campus School, High School, Internal Edgewood Staff and City to ensure that traffic patterns on campus and gate access allow for the best traffic flow during surrounding City street construction projects.
University Policy and Safety Regulation Enforcement:
- Oversee the rules and regulations of the University, policies and procedures of the Facilities Operations Department, and all safety regulations are known and observed by all Facilities Operations staff.
Other duties as assigned.
JOB QUALIFICATIONS
Necessary Education or Work Experience:
- Bachelor’s degree preferred and/or five to seven years’ experience in facilities or property management
- Three to Five years’ experience supervising administrative, semi-skilled/skilled and service-oriented staff (maintenance, custodial, grounds, etc.).
Required Knowledge and Skills:
- Excellent verbal and written communication skills with experience interfacing with all levels of management.
- Excellent organizational, analytical, written, and oral communication skills.
- Ability to strategically think through a process.
- Must be a self-starter and have the ability to accept and carry out responsibilities for direction, control, and planning.
- Ability to solve practical problems and deal with variable situations where limited standardization exists.
- Ability to lead and manage a staff through setting goals, evaluating performance, and maintaining the expectations of the team.
Required Technology Skills:
- Overall Proficient skill-level in Microsoft Office 365.
- Willingness and ability to learn new software.
Specialized Technology Skills:
- Overall Proficient skill-level in SysAid.
