DESCRIPTION OF JOB:     

The Assistant Dean for Academic Operations works with the Provost and Deans to support the operational aspects of Academic Affairs. It is a full-time, twelve-month position requiring leadership for defining and implementing policies and procedures which govern vital academic processes and documents.  This position reports to the Provost and has administrative responsibility for the university registrar and the registrar’s office.

Responsibilities:

The Assistant Dean for Academic Operations provides leadership for the following activities.

  • Manages new academic initiative process and program sunset process. Serves as first point of contact for new program and course proposals. Guides program developers through approval stages. Serves as a liaison among academic units and with faculty to aid development of new curricula.
  • Manages production of the university catalog, provides oversight of the catalog management software, and coordinates integration with the curriculum management software, the classroom management system, and the student information system.
  • Works with deans on the development and maintenance of transfer agreements; manages the approval processes for such agreements; provides collaborative leadership for articulation agreements. Serves as liaison to stakeholder offices impacted by external academic agreements. In collaboration with Marketing and Communications, updates transfer agreement resources on the institutional website.
  • Oversees development of the academic calendar, including the final examination schedule.
  • Disseminates information to admissions, marketing, and academic advising staff related to changes in curriculum and program offerings.
  • Works collaboratively with Marketing and Communications on developing and revising the academic pages of the institutional website.
  • Oversees development of the course timetable.
  • Works collaboratively with the Undergraduate and Graduate Curriculum Committees to maintain records of changes in academic policies and procedures.
  • Manages low-enrolled course review and tracking process with the Deans’ Council prior to the start of each term. Notifies stakeholder offices of changes for tracking and faculty contract purposes.
  • Ensures new policies, agreements, and curricular changes maintain compliance with the Higher Learning Commission accreditation standards.
  • Serves as the primary point of contact for Academic Affairs with the Office of Information Technology.
  • Other duties as assigned by the Provost.

JOB QUALIFICATIONS

Necessary Education or Work Experience:

Education

  • Required: Doctoral degree

Experience

  • Experience using higher education data systems.

Required Knowledge and Skills:

  • Demonstrated understanding of enrollment, registration, accreditation, and quality improvement processes
