Athletic Operations Manager
DESCRIPTION OF JOB:
The Athletic Operations Manager provides administrative, operational, and event support to the Director of Athletics and the department. This role ensures smooth day-to-day office operations, assists with event logistics and facilities scheduling, supports financial and ticketing processes, and helps maintain accurate student-athlete records and communications. The Manager will work closely with coaches, student-employees, and campus partners under the direction of the Director of Athletics.
Responsibilities:

Event Coordination & Game-Day Operations
- Assist with planning and execution of athletic events: facility reservations, event set-up, scheduling of support staff (student workers, game operations), and post-event wrap-up.
- Support ticketing and concessions operations on event days and help manage point-of-sale or ticket reconciliation as assigned.

Finance & Vendor Support
- Support budget tracking and basic financial administration: process invoices, enter/track athletic fees, assist with expense reconciliations and purchasing requests.
- Help coordinate with campus purchasing/accounts payable and outside vendors for routine contracts and rentals, escalating complex issues to the Director.

Administrative Support
- Provide day-to-day administrative support for the Director of Athletics (calendar management, meeting preparation, travel arrangements, correspondence, and filing).
- Serve as primary point of contact for routine phone and email inquiries; greet and assist visitors to the Athletics office.
- Prepare and proof documents, process mail, maintain office supplies, and manage basic records systems.

Communications & Student-Athlete Support
- Maintain accurate student-athlete contact and academic eligibility files; assist coaches and compliance staff with routine paperwork.
- Draft routine communications (announcements, schedules, event notices) and assist with social/media distribution as directed.

Database, Scheduling & Facilities Support
- Maintain team rosters, schedules, and departmental databases; assist with gymnasium and facility scheduling requests and maintenance coordination.

Other
- Participate in department meetings, assist on special projects, and perform other duties as assigned by the Director of Athletics.
JOB QUALIFICATIONS
Necessary Education or Work Experience:
- Associate or bachelor’s degree preferred or relevant experience
- Prior administrative experience, preferably within an athletic or educational setting.
- Working knowledge of college athletics and regulations is a plus.

- Discretion and ability to handle confidential information.
- Customer-service orientation and ability to work with a diverse campus community.
- Basic knowledge of college athletics or willingness to learn NCAA Division III rules and conference practices.
Specialized Technology Skills
- Proficiency with Microsoft Office programs, including: Word, Excel, Power Point, Outlook, and basic computer concepts
- Knowledge of SharePoint is a plus
- Willingness and ability to learn new software
