DESCRIPTION OF JOB:     

Edgewood University is seeking a full-time Human Resources Generalist. The HR Generalist serves as primary point of contact for employees, student workers and supervisors of contact for general HR related questions and supports the Human Resources department in the following areas: student employment, benefits administration, onboarding, recruitment, Human Resources Information System (HRIS), personnel records management and employee relations.

Responsibilities:

General Human Resources

  • Respond to general HR inquiries about benefits, payroll, and employee relations; triage as appropriate to other staff or departments
  • Assist with benefits overview as needed and serve as backup, maintaining a working knowledge of essential benefits information.
  • Prepare unemployment wage requests and submit New Hire Reports to the Department of Workforce Development.
  • File and maintain confidential personnel and other HR records
  • Assists with projects and correspondence as requested
  • Establish and manage credentials for vendors and zero-contract employees
  • Manage Employee Handbook
  • Other duties as assigned

Recruitment and Onboarding:

Oversee recruitment process for faculty, staff and student positions within the University. Assist in developing recruitment strategy which includes posting jobs on varied web-sites, publications, and researching other recruitment opportunities, i.e. career fairs, community organizations.  Serve as an advisor to search committee chairs and hiring manager through the interview process, up to the offer and close of the position.

  • Meet with search chair and/or hiring manager to review resources and tools to conduct a successful search
  • Facilitate new searches with hiring contacts to begin recruitment of replacement or budgeted position by completing the requisition form.
    • Position description is complete along with posting for advertising
    • Positions are advertised as requested in requisition by hiring contact as well as other general sources. May include contact with outside agencies.
    • Orchestrate depository for resumes through the development of a webpage.
  • Assist in facilitating the interview process with the hiring contact including providing administrative support for phone and on-campus interviews.
    • Coordinate lodging
    • Prepare interview-related expense and reimbursement forms (such as dining expenses with candidates which are incurred by search committee).
    • Prepare relocation expense report/provide policy information to candidates.
    • Respond to candidates’ inquiries regarding the search process.
    • Assist in conducting references and process/oversee background screening/checks conducted through third-party.
  • Support recruitment, hiring processes and onboarding for staff, faculty, and student employees
    • Participate in student events such as Student Admitted Days, Eagle Enrollment, ect.
    • Assist with onboarding, orientation, and employment eligibility verification (I-9)
    • Coordinate hiring documentation, offer letters, and onboard new hires (ensuring proper paperwork is complete, tracking and retaining new hire paperwork, facilitating background checks, benefit enrollment, etc.)
    • Issue, track, maintain records for keys
    • Assist with planning of New Hire Orientation

Student Employment Program Administration 

  • Maintain and oversee the student employee timekeeping and payroll administration system, processing set-up, and coordinating payroll processing
  • Oversee the approval of student employment open positions in HandShake.
  • Conduct orientation for student employees
  • Provide training for new student employee supervisors
  • Maintain the Student Employment Handbook
  • Coordinate an Annual Student Employment Recognition event, proposing a budget and detailing the activities.

Training & Process Support 

  • Coordinate required training (harassment prevention, compliance, supervisor training)
  • Assist in developing HR processes, forms, and documentation
  • Support audits, reporting, and internal reviews

JOB QUALIFICATIONS

Necessary Education or Work Experience:

  • Bachelor’s Degree required
  • Minimum of 3 years of successful HR Generalist or Coordinator experience required
  • Higher Education experience is a plus.

Required Knowledge and Skills:

  • Proficiency in Spanish preferred
  • Demonstrate strong attention to detail, organizational skills, and the ability to produce high-quality work in a fast-paced, customer-service focused environment.
  • Maintain a consistently high level of professionalism and regard for the utmost of confidentiality
  • Excellent customer service skills required in a high-volume/high contact environment with the ability to maintain composure and facilitate resolution of difficult situations
  • Ability to collaborate with a broad range of departments/offices within Edgewood University as well as with students, faculty and staff
  • Work independently, prioritize tasks, and handle assignments efficiently
  • Excellent grammar and business writing skills

Specialized Technology Skills:

  • SharePoint 365 experience
  • Experience with Jenzabar, Infomaker, Kronos (or similar timekeeping system)
  • Any specialized training in employment law, compensation, organizational planning, organization development, employee relations, safety, training, and preventive labor relations, welcomed
