School Certifying Official (SCO)/Academic Records Specialist

There are two roles for the person in this position. As the primary SCO, this individual will administratively serve and support service members, veterans, and families who receive federal and state education benefits.  The Academic Records Specialist will contribute to a myriad of other responsibilities and processes within the Registrar’s Office, with a strong focus on assisting students, parents, faculty, and staff. 

There is a high level of complexity and attention to detail required in this position, which requires independent judgement, proactive problem-solving skills, and impeccable accuracy. The ability to understand and interpret academic policies and federal regulations is essential.


Veterans School Certifying Official:

  • Serve as primary administrator of federal and state benefits for eligible students
  • Stay up to date with changing federal and state legislation
  • Understand and interpret VA regulations and policies
  • Assist students in determining appropriate benefits
  • Collaborate with the Edgewood College Veterans Services Coordinator to provide excellent support services to veteran students
  • Process certifications for the Department of Veterans Affairs
  • Maintain GoArmy Ed/Air Force tuition assistance websites
  • Handle veteran IPEDS reporting with the Financial Aid Office
  • Coordinate payments and veteran debts with the Business Office
  • Develop timely and accurate reports required by the VA and other external organizations

Program Coordination and Office Support (50%):

  • Direct and manage student workers
  • Process transcript requests daily
  • Provide exceptional customer service to students, parents, faculty, and staff who contact the Registrar’s Office for assistance
  • Coordinate complete business process cycles for key program areas of the office, such as setting up the priority registration schedule, maintaining prerequisites and corequisites for all courses, tracking curricular changes, and scheduling final exams (only a few examples of the possible program areas)
  • Accurately process a variety of forms and update the student information system as appropriate
  • Provide assistance with daily tasks to Registrar’s Office co-workers as needed
  • Develop new processes and procedures as needed

Job Qualifications

Necessary Education or Work Experience

  • Associate’s degree required (Bachelor’s preferred)
  • School Certifying Official (SCO) experience strongly preferred
  • Three years of administrative work experience in higher education preferred

Required Knowledge and Skills

  • Exceptional accuracy and detail-mindedness
  • Excellent written and verbal communication skills
  • Organizational, interpersonal, and problem-solving abilities
  • Ability to work independently and proactively initiate necessary steps to resolve a wide variety of issues as they arise
  • Ability to interpret and follow complex policies and operational protocols and make decisions related to individual circumstances

Required Technical Skills

  • Overall Proficient skill-level in Microsoft Office, which includes: Word, Excel, Power Point, Outlook, and basic computer concepts
  • Willingness and ability to learn new software
  • Query writing (SQL) experience preferred
